Booking & Cancellation Policy

At Gemfinders Safaris, we are committed to delivering seamless, well-planned safari experiences. The following Booking & Cancellation Policy outlines how bookings are secured, how payments are handled, and how cancellations and refunds are processed.

By confirming a safari with us, you agree to the terms below.


1. Booking Process

Inquiry
Contact us via our website, email, phone, or WhatsApp to discuss your travel plans. We will provide a detailed itinerary and quotation based on your preferences.

Reservation Hold
Once you select a safari package, we may hold your reservation for up to 10 days pending deposit and confirmation.


2. Deposit & Payment Terms

Deposit
A minimum deposit of 30% of the total tour cost is required to secure your booking.

Final Payment
The remaining balance is due 30 days before departure.

Last-Minute Bookings
For bookings made 30 days or less before departure, a 50% deposit is required immediately, with the balance payable at least 24 hours before departure.

Payment Methods
We accept payment via bank transfer or secure credit card payment link.


3. Booking Confirmation

Your booking is considered confirmed once:

  • The required deposit is received; and
  • You receive written confirmation or a payment receipt from Gemfinders Safaris.

Please review your confirmation carefully and notify us immediately of any corrections required.


4. Amendments & Changes

Requests to change travel dates, guest numbers, or itinerary components must be made in writing.

All changes are subject to:

  • Lodge and supplier availability
  • Airline policies (where applicable)
  • Potential additional costs

Any price difference must be settled before revised arrangements are confirmed.


5. Cancellation by Guest

All cancellations must be submitted in writing via email to:

The cancellation date will be the date we receive your written notice.

Refunds are calculated as follows:

  • More than 60 days before departure: Full refund minus a 10% administrative fee
  • 31–60 days before departure: 75% refund of total tour cost
  • 15–30 days before departure: 70% refund of total tour cost
  • 4–14 days before departure: 50% refund of total tour cost
  • Within 3 days of departure or no-show: No refund

6. Cancellation by Gemfinders Safaris

In rare circumstances where we must cancel a safari due to safety concerns, natural disasters, government restrictions, or other unforeseen events beyond our control, you will be offered:

  • A full refund; or
  • The option to reschedule your safari to a later date.

7. Refund Computation

Refunds are calculated after deducting:

  • Non-refundable lodge or supplier deposits
  • Park fees already paid
  • Airline or third-party penalties
  • Administrative fees (where applicable)
  • Bank, payment gateway, and currency exchange charges

Refunds are processed to the original method of payment. Processing times may vary depending on banking institutions.


8. Travel Documents & Insurance

Guests are responsible for ensuring they hold:

  • A valid passport
  • Any required visas
  • Required health documentation

We strongly recommend comprehensive travel insurance covering:

  • Trip cancellation
  • Medical emergencies
  • Evacuation
  • Force majeure events

Travel insurance protects your investment should unexpected events occur.


9. Responsibility & Liability

Gemfinders Safaris makes every effort to ensure a safe and enjoyable experience. However, we cannot be held liable for injury, loss, delay, or damage arising from circumstances beyond our control, including but not limited to natural events, political actions, or supplier disruptions.
